Most HR managers are multi-taskers—because they have to be. From payroll, benefits, and leave management to hiring and onboarding employees, HR managers have huge workloads. With so many HR functions to manage with only so many hours in a day, it can be overwhelming to get everything done correctly and on time. But with the huge responsibility on HR managers’ shoulders and HR’s vital importance to company success, there is no other option than to get it all done.

It’s only natural, then, that HR managers would seek out various ways to save time so they can do more in a day.

Increasing efficiency and productivity in the HR department is critical. Here are five tips to get you started on your path to greater efficiency and productivity in HR.

1. Automate

Paperwork and manual tasks can take too much time away from more important HR functions. Improved HR technology means it's unnecessary for you to be drowning in paperwork. Using an HRIS to automate as many HR tasks as possible can save you significant time. Annual reviews, paid time off, vacation requests, employee surveys, and many other functions can easily be automated. An HRIS will automatically collect and store important data, making these tasks quick and painless.

2. Centralization

Though your company might only have one HR department, in reality, the department might be scattered across multiple locations and offices, with some parts of the team functioning independently from the others. In addition, HR functions and related data could all be managed in single-use applications that are not integrated with one another.

When all personnel, functions, and data are separated, however, disparities, inefficiencies, gaps, and an increased risk of liability can exist. In the end, this means more work—like data entry—for HR managers.

Centralization of human resources functions has advantages. It can reduce redundancy, limit the risk of errors, help streamline policies, procedures, and processes, and improve efficiency. When all functions are managed in one place, and all data is stored in one centralized location, you can significantly cut wasted time. 

3. Empower Employees      

You might not realize it, but employee management requires a lot of time. How many employee questions do you field on a daily basis, either in person, on the phone, or via email? Employees are constantly coming to you asking how many sick days they have left, asking if they can get copies of their employee information, requesting a change of address, and asking endless other questions.

How can you get any work done if you’re constantly answering the phone or the latest email from an employee? Empowering your employees has many advantages, one of which is time saved. Consider implementing an employee portal to your HR software so your employees can view their information, make changes, and answer their own questions.

4. Team up with Compliance Experts

Compliance is one of the most critical roles in HR. However, it’s also one of the most complex and time consuming.

If you’re not an expert, compliance can be an incredibly slow and difficult process. You can save time by partnering with experts who can help you manage compliance. An HR Hub is the best way to maintain consistent contact with experts of all kinds, including compliance.

5. Share Responsibility with Other Managers

If your HR team is small and swamped, consider sharing some of your responsibilities with other managers. For example, workforce managers can manage their own recruiting or hiring as well as time sheet tracking. You don’t have to do it all on your own if doing so will reduce effectiveness and efficiency.
